Resume Format Guide 2026 — Which Format Gets You Hired

The format of your resume determines whether it survives ATS screening, whether the recruiter can find what they need in 6 seconds, and whether your most important qualifications are visible immediately. This guide covers the three formats, 2026 standards, ATS rules, and the one-page vs two-page decision — completely.

The 3 Resume Formats Explained

Each format has a different structure, a different audience, and a different ATS compatibility profile.

Most widely used — recommended for most candidates
Reverse-Chronological

The reverse-chronological format lists your work experience starting with your most recent position and working backward. Each job entry includes your title, company, dates, and bullet points describing your accomplishments. This is the format hiring managers expect and ATS systems are optimized to parse.

SKILLS
Use this format if:
Candidates with consistent, relevant work history
Anyone with steady career progression in one field
Entry-level candidates with internships or projects
Most professionals applying to traditional employers
Avoid if:
Candidates with large unexplained gaps in employment
Career changers where past job titles don't match target role
Best for career changers and senior professionals
Combination (Hybrid)

The combination format leads with a skills or competencies section before the chronological work history. This allows you to front-load the most relevant capabilities for the role, then back them with evidence in your work history section. It is the only format that lets you control the narrative without hiding your timeline.

CERTIFICATIONS / SKILLS
Use this format if:
Career changers whose job titles don't match their target role
Senior professionals with broad skill sets
Candidates re-entering the workforce after a gap
Anyone applying across industries or functions
Avoid if:
Entry-level candidates without a rich skills section to lead with
Candidates whose recent job titles are strong signals on their own
Avoid — ATS unfriendly and viewed negatively by most recruiters
Functional

The functional format organizes experience by skill category rather than chronological work history. It was designed to help candidates with gaps or career changes mask their timeline. In practice, it signals to recruiters that something is being hidden and routinely fails ATS parsing — meaning your resume may never be read at all.

Anyone applying to a company that uses ATS screening
Anyone where recruiter trust is important (i.e., everyone)
Career changers who would be better served by the combination format

2026 Resume Formatting Standards

The rules that apply regardless of which format you choose.

Margins
0.75–1 inch on all sides
Below 0.5 inches looks cramped and may be cut in printing. Above 1.25 inches wastes space.
Body font size
10–12pt
Below 10pt is hard to read. Above 12pt makes your resume look sparse.
Name font size
14–18pt
Your name should stand out but not overwhelm the page.
Recommended fonts
Calibri, Arial, Garamond, Georgia, Helvetica
These are ATS-safe and universally readable. Avoid decorative fonts.
Line spacing
1.0–1.15 within sections; 1.5–2.0 between sections
Tight spacing within bullets; breathing room between sections improves scanability.
Resume length
1 page (0–10 yrs), 2 pages (10+ yrs)
The rule is 'as short as possible while including everything relevant.'
File format
.docx or PDF (check job posting)
Most ATS systems accept both. When in doubt, .docx is safer. Never submit .pages or .odt.
Section heading style
Bold, slightly larger (12–13pt), all caps or title case
Clear visual hierarchy helps both ATS parsing and human scanning.

ATS-Safe Formatting Rules

Over 98% of Fortune 500 companies use ATS screening. These rules determine whether your resume is read or discarded before a human ever sees it.

Single-column layout only

Multi-column layouts look clean in Word but disintegrate in ATS parsing — the system reads across columns, scrambling your content.

No tables for content layout

Tables are acceptable for a skills grid, but never use them to structure your experience or contact information. ATS parsers frequently drop table content.

No text boxes

Content inside text boxes is invisible to most ATS systems. Common mistake: placing your contact info in a header text box — it simply disappears.

No graphics, icons, or logos

Company logos, skill-bar graphics, and decorative icons add no information and confuse parsers. Plain text always wins for ATS-facing documents.

Standard section headings

Use 'Work Experience', 'Education', 'Skills' — not creative equivalents like 'My Journey', 'What I Know', or 'Competency Profile'. ATS systems match on standard headings.

No headers/footers for key content

Many ATS systems cannot read content inside header and footer regions. Your name and contact information should be in the body of the document.

Keywords from the job description

ATS systems rank candidates partly by keyword density. Read the job posting carefully and include relevant skills and terms naturally in your bullet points.

No hidden white text

Some candidates paste keywords in white text to boost ATS scores. Modern ATS systems detect and penalize this. It can result in immediate disqualification.

How Kind Resume Auto-Formats for ATS

Kind Resume's editor generates single-column, ATS-optimized documents by default. Every template has been tested against the major ATS platforms used by Fortune 500 companies — Taleo, Workday, Greenhouse, Lever, and iCIMS. The editor enforces safe fonts, correct heading structure, and eliminates tables, text boxes, and graphics from the output document automatically. You focus on content; the format is handled.

What to Never Include on a Resume in 2026

These elements actively hurt your chances — either by creating legal risk, signaling poor judgment, or wasting space that should carry evidence of your capability.

A photo

Photos are illegal to require in the US, UK, Canada, and Australia, and introduce unconscious bias. Most US/UK hiring processes will filter out resumes with photos to avoid legal liability.

Your full home address

City and state (or city and country for international applications) is sufficient. A full street address risks bias based on zip code and is unnecessary for initial screening.

Date of birth

Age discrimination is illegal in most countries. Recruiters should not have this information during initial screening.

'References available upon request'

This phrase wastes a line. It is universally understood that references exist — no recruiter has ever rejected a candidate for not including this phrase, and many notice its absence positively.

An objective statement

Objective statements describe what you want. A professional summary describes what you offer. Employers hire for what you can do for them, not what you want from them.

Every job you've ever had

Include only the last 10-15 years and roles directly relevant to your target position. A summer job from 2008 is not evidence of current capability.

Soft skills as bullet points

'Excellent communicator', 'strong team player', 'detail-oriented' are not accomplishments — they are claims without evidence. Replace with achievement bullets that demonstrate these skills.

One Page vs Two Pages — Decision Guide

The answer depends on your career stage, not a universal rule.

0–5 years of experience
One page
You don't have enough verified experience to justify two pages. A one-page resume signals good judgment about what matters.
5–10 years of experience
One page (tight) or two
One page is preferred if you can include everything relevant without going below 10pt font or 0.7 inch margins. Two pages are fine if you have substantial, relevant experience to fill them.
10+ years of experience
Two pages
Two pages are expected for mid-to-senior roles. Three or more pages are rarely appropriate unless you're applying for academic positions (CV format).
Executive or board-level
Two pages
A single-page executive resume often signals that you don't have enough experience to fill it. Two pages are appropriate; three pages only for academic or board of directors contexts.
Fresh graduate
One page
Lead with your most impressive project, internship, or academic achievement. Don't pad with irrelevant experience to fill a second page.
Career changer
One page
Your goal is to lead with relevance, not volume. A tight, targeted one-page combination-format resume is more effective than a two-page document full of unrelated history.

The real rule: Your resume should be as short as possible while including everything relevant. If cutting to one page requires 9pt font or 0.5 inch margins, go to two pages. If your two-page resume has half-empty pages, cut to one. Format serves content — not the other way around.
